ZEFATTURA – INVOICE Interface for Italian Electronic Billing

Electronic invoicing is a process that allows all economic operators (businesses, professionals, VAT numbers, etc.) to construct, transmit and receive invoices using only digital solutions – abandoning paper support and all related invoices forever, as well as eliminating printing, shipping and storage costs.

Electronic invoicing in commercial relations between the PA and its suppliers is mandatory as of 31 March 2015. The obligation requires invoices to be issued, transmitted and stored exclusively in electronic form to the Public Administration. The most recent novelty is the one introduced by the Budget Law 2018 approved by the Italian parliament, which extended the obligation of electronic invoicing also to commercial exchanges between private subjects (B2B) from 1 January 2019.

The PA and B2B electronic invoices must comply with a standard XML format, containing a series of minimum mandatory information, to be signed with a digital signature and be exchanged through the Exchange System (SdI), an IT system supporting the reception process and subsequent forwarding of electronic invoices, managed by the Revenue Agency.

Many customers have decided to send electronic invoices using their document management partner. However it is necessary that the data related to the electronic invoices are extracted from SAP and transmitted to the partner in the correct format, accompanied by all the information required by SdI (Document Type, Data Transferor and Customer, Transport Data, Bank Data, Payment Data, Codes Article, Other Management Data, summary and transcoding of VAT data, etc. …).

Thanks to our ZEFACTURE interface, the transmission, monitoring and waiting for notifications became systematic processes and simple to manage entirely in SAP, with a single panel to keep the situation under control and interact when necessary. The management of XML tags is parameterized into the smallest details and allows intervening with specific rules for individual customers.

ZEFATTURA_PASSIVE – Interface for Receiving Italian Electronic Invoices

Electronic invoicing needs to be managed in the passive process as well, e.g. in the receipt of invoices from the Italian suppliers in SAP. Using the XML files as the format for the transmission of invoices allows you to identify the different fields on the invoice. At this point, the use of the information thus identified, allows a pre-registration with classic SAP transactions used manually until now. The continuous optimization of the process, thanks to the experience gained in the field, pushes the limits for these type of activities up to goals that were difficult to hypothesize in the past years.

ZALERT – A Completely Configurable Real Time Alert

Many times we have been asked about the possibility to be promptly informed when a certain complaint occurs. The information can arrive with a specific email, possibly accompanied by the necessary technical attachments, automatically processed and transmitted by SAP to the selected recipients. The strength of our ZALERT is the possibility to parameterize the individual conditions that give rise to an Alert, a daily check, a weekly routine or an alert following specific events. From the logistic flow to the administrative area, passing through the operation of an EDI interface, everything is monitored without the need to commit time to laborious reporting or cumbersome checks.

TROCKPIT – A Cockpit for Production Management

Trockpit is the “shop-floor-to-top-floor” solution to get closer to Industry 4.0 in SAP. It is a suite of programs that can be installed in SAP directly, allowing production personnel to record all production data in SAP.

With Trockpit:

  • The production operator can carry out all the data collection operations such as the registration of the goods receipt of finished product, the recording of the consumption of raw materials, and the allocation of setup and production times – all through a simple and intuitive interface directly in SAP.
  • The production manager can prepare the sequence of operations on each work center, check the progress of the orders, make changes to the sequence, and distribute them directly to the workstations.
  • The plant manager can monitor the production trend through a rich set of online reports.
